Nice to "meet" you

We all have meetings. Some are productive and achieve a lot. There are others where nothing is accomplished, they eat up too much time, and they go completely off track. For a moment, let's imagine that the majority of meetings you have are the former and are really productive. That's great, but how many meetings should you be holding with your manager, your peers, your team, your operation?

There's a big focus on communication but is holding a meeting the best way to communicate, and if it is, what sort of meeting should you hold? Are the meetings held too often, and if you're not achieving anything, why are you organising or attending these meetings? Stepping back for a moment, why would you arrange a meeting?

There are many reasons which can include:. To put this more succinctly, I read something recently that said that there are only three legitimate reasons to hold a meeting:. It is difficult to disagree with these three reasons, and if you look hard enough, all of the previous statements can be shoehorned into the three reasons above. Surely the three legitimate reasons for holding a meeting can be overcome using modern technology and ways of working , meaning that we get back the time that would have been spent preparing and attending an unproductive meeting doing something more So, with this in mind, what can we do instead to overcome meeting overkill?

Let's look at the technology that all of us use on a daily basis in our workplaces:. If you need someone to ponder on a subject and come back to you with a reasoned and well thought out response, email is perfect as it allows the recipient time to dwell on the subject.

Whilst email is suitable for this type of communication, it's worth bearing in mind the volume of emails that are sent. It can be very easy to miss an email, so if you want a response, it may be best first to let the recipient know that an email has been sent and also to include a deadline as to when you require a reply. Instant messaging for example any of the email or communicator chat systems is more suited for our highly mobile times. Since it happens in real time and warrants an immediate response, it is a perfect tool to stay in touch and collaborate on pressing issues.

Compared to phone calls and face-to-face conversations, instant messaging is less disruptive and does not require much in terms of financial and mental investments. Instant messaging exchanges tend to be shorter, thus they can save some valuable time. Not to mention, it is easy to browse your history and find conversation from days, weeks, and even months ago. It seems quite silly to describe the benefits of instant messaging when literally everyone has already been using it for ages.

Stranger still that not many do realize the immediate benefits of opting for a quick chat instead of a long meeting session. A lot can get done via IM Instant Messaging. IM allows you and your business partners to maintain a long-term virtual "presence" as you work, posting questions, updates, and ideas as they strike you or as you come across problems in your work. Since IM programs maintain a full record of the chat session, there's no danger of missing anything or losing it — just scroll up.

There are a couple of rules to follow for productive IM'ing. Cut the chatter just like a being in a meeting - to keep things focused, each person should speak only;. Today's IM software comes with voice and video capabilities, avatars, face-morphing functions, multi-colored fonts, and more.

Leave those alone — you're working, not playing IM. Alternatives to IM include private chatrooms like Campfire or even Twitter if you can resist the siren call of your friends' tweets. If you really need to call a more formal meeting, then you need to prepare and keep the meeting concise and to the point.

Be sure to follow best practices by having an agenda and distributing it beforehand so attendees can come to the meeting prepped and ready to go. Assign someone to take minutes and send them out after the meeting, so everyone has a record of what was discussed, and keep the discussion on track and ensure you start and end the meeting on time. What is quickly becoming an old school way of holding a meeting is, however, still very relevant in this day and age. If you just need to speak with your meeting guests without any visual link, an audio conference is a simple way of collaborating directly and efficiently.

All you need is a landline or mobile phone and an account with an audio conferencing provider. It's even easier than that there are now companies like Skype and Zoom which enable you to have an audio conference without even moving away from your computer.

Audio conferences give participants increased objectivity because they're not distracted by the visual feed provided by the webcams of meeting participants. This allows them to think more logically about the points being put forward during the discussion and perhaps come to an agreement or understanding sooner. Many conferencing providers don't offer their service over dedicated telephone lines, leading to call drop-outs and bad quality conferences. When deciding on which audio conferencing provider to use, make sure you choose one which owns their infrastructure and can guarantee you service over dedicated phone lines.

Face-to-face meetings are easily conducted by using web conferencing and webcams without having to travel to meet in person. Everybody can see each other from wherever they are; whether that's their office, home or anywhere else they happen to be! The traditional advantages of meeting in person can be achieved much more easily with a web conference.

By being able to see the people you are meeting with increases trust. Our body language influences how others interpret our words. If your body language matches your words, this increases trust, rapport, and understanding with your meeting guests. Using webcams in a web conference means you can communicate both verbally and non-verbally. If you can read someone's body language, you'll have access to a wealth of additional information that can't be transmitted through a simple telephone meeting.

Being able to see the people you are talking with also increases engagement. Having a visual connection with your meeting participants adds an element of accountability for each person. This will discourage busy attendees from attempting to multitask, which can happen if the meeting is being conducted over phones. The irony of a face-to-face meeting over a webcam is that it increases productivity. Web conferences allow you to share screens so you can collaborate easily on projects and documents even when thousands of kilometres separate you.

The time saved from travelling to the meeting can instead be used to achieve your goals and help make decisions more efficiently. Some web conferencing providers like to lock you into monthly subscriptions, regardless of how much you may use the service. Just make sure you choose a provider who offers you pay-as-you-go rates rather than a monthly fee or subscription.

There is no doubt that nothing beats a person-to-person meeting. A short stand-up meeting can save days of going back and forth over email, and it is so much more personable if you are in the same room as the person you are talking to.

This would be the type of communication that I would recommend if you are based in the same building as the person you are meeting. Unfortunately, this isn't always the case and often in these more flexible days of working people could be working from another site, from their home, or even another country.

In today's busy world, it is an increasingly difficult feat to schedule everyone so that they can be in the same place at the same time. If you need to be able to touch things, such as product samples, then an in-person meeting is probably the best option for you. In-person meetings can be more dynamic than virtual meetings. For example, you can easily break up into smaller groups to brainstorm ideas. It can always be extremely beneficial at the beginning of a business relationship to meet in person in order to create a strong basis for an ongoing relationship.

There are, as with all things, some negatives that offset the benefits of the person-to-person meeting. It can take up a lot of time, especially if you're not based in the same location, and as such will also have cost implications in terms of travel and accommodation.

You could also suggest that these meetings are outdated due to the digital technologies that exist, and companies that have person-to-person meetings are lagging in business trends. There's no getting away from the fact that meetings are a necessary evil in business. However, you meet they accomplish the fundamental need of enabling people to communicate in order to work together.

Selecting the right kind of meeting at the right time is key, and this is how you will achieve the most in terms of productivity and benefits that impact all members of a meeting. Done correctly, meetings positively impact the business and open an important communication forum. Written by Robin Kiziak. The Numbers Guys. Sign In My Account. Home Blog About.
